RecapPro - for Microsoft Teams

Your meetings, written up

Every Teams meeting ends with a recap, a list of who agreed to do what, and a client email you would be happy to send. Nothing to install, no bot in the call, and a person always reads it first.

What happens after the call

You finish the meeting. RecapPro does the part that usually gets put off until Friday.

  1. 1

Your meeting is set to record

RecapPro turns on recording and transcription for the Teams meetings your team organises, then checks Microsoft actually kept the setting. Nobody has to remember the button.

  2. 2

It reads the transcript, not the room

After the call it works from Microsoft's own transcript and attendance list. No bot joins, and your client never sees an unexplained attendee.

  3. 3

    Two recaps are written

One for your team, with everything in it. One written separately for your client, then checked a second time for anything that should not leave the building.

  4. 4

A person reads it and sends it

Your team gets a short "your recap is ready" note. Nothing goes to a client until someone has read it, edited it if they want, and pressed send.

The bit of the meeting your client should not see

Every client call has a few minutes that are not for the client. Most notetakers write them up anyway. RecapPro writes the client's recap separately, reads it again against the whole conversation, and takes those minutes out.

Example

Removed from the client recap, and why

What was saidWhy it stayed internal
We could go to 12% on the renewal if they push.Internal pricing latitude
Their current supplier is Acme, same as the Brookfield account.Another customer named
Said before the client joined: "let's not mention the delay."Before the guest joined

You check the filter. You do not have to trust it.

RecapPro shows you every line it held back and the reason, on the meeting itself. It looks for internal costs and margins, criticism of colleagues, other customers named, security weaknesses, unannounced plans, and anything said before your guest joined or after they left.

If that second check fails for any reason, the client email is refused. It never falls back to the unchecked version.

What you get

Actions with owners

"Leave it with me" and "Sam, can you..." become a task with a name and, where one was said, a date. One shared list across every meeting.

One email, one thread

By default the recap goes to everyone at once, client included, so they can reply to all and the conversation stays together.

See the email first

Review and send shows the finished email exactly as it will land, with the text and actions editable before it goes.

Your brand, your people

Your logo and colours. Each sender's signature is built from their own Microsoft 365 profile, so nobody pastes one in.

Planner, if you use it

Actions from client meetings can be copied into Microsoft Planner. If you do not use Planner, the list inside RecapPro is the whole thing.

People see their own meetings

Everyone sees the meetings they organised, attended or hold an action from. Your admins see the lot.

Coming next

Built, and being rolled out to existing RecapPro customers first.

Recap Live - for meetings in a room

Put your phone on the table, press record, and the recap lands next to your Teams meetings. The audio is transcribed on our own servers and never sent to an AI company. It keeps going if the signal drops.

RecapPro Advanced

Decisions listed separately from actions, a Monday email of everything you still owe, a short brief before your next meeting with the same people, and search across every meeting. Your admin picks which to switch on.

Questions people ask first

Does anything install on our computers?

No. RecapPro connects to your Microsoft 365 with one approval from your administrator. Nothing goes on anyone's laptop and no bot joins your calls.

Does it cover every meeting?

It covers Teams meetings organised by the people you ask us to include. A meeting organised by someone outside that group, such as a client, is not picked up. We would rather tell you that now than have you find out.

Where do the recordings go?

They stay where Teams put them, in your own Microsoft 365, under your own retention settings. RecapPro plays them from there. It does not copy them.

What do you store?

The transcript, the recaps and the actions are stored by our Luminate platform on our UK server, so you can search and come back to them. The recap is written by an AI model working from the transcript text.

Can it send something we did not mean to share?

Nothing goes to a client until one of your team has read it and pressed send. The client version is checked against the whole conversation, and RecapPro shows you what it took out and why, so you can check the check.

What does our Microsoft 365 need?

Teams meetings with transcription allowed, and transcript access for apps switched on in the Teams admin centre (Microsoft turned it off by default in July 2026). We set all of that up with you.

See it on one of your own meetings

Tell us whose meetings to cover. We will connect it, and you can judge the recap from your next Teams call.
