VoiceBox - voicemail for busy front desks

Every voicemail, read in seconds and called back once

Voicemail stops being a scattering of audio files in separate mailboxes. Every message lands in one screen as written text, tagged by site or department, and you can see at a glance which ones have been called back.

From missed call to called back

Nothing new for callers, nothing new to install. Your team gets a screen instead of a mailbox full of attachments.

  1. 1

    A caller leaves a message

Your phone system already emails voicemail to a Microsoft 365 mailbox. VoiceBox reads that mailbox. Nothing about how your phones work has to change.

  2. 2

    It is written down

The recording is transcribed on our own servers and tidied into readable text. The audio is never sent to an outside speech service.

  3. 3

    It lands in one screen

Every message from every mailbox you connect, newest first, tagged by site or department, with the transcript and a play button beside it.

  4. 4

Someone claims it and calls back

Claim a message and it is locked to you, so two people never ring the same customer. Mark it returned, add a note, and everyone can see it is done.

What you get

Read, do not listen

Scan ten messages in the time it takes to listen to one. The recording is still there when you need to hear the tone.

Claim it, then call

A claimed message is visibly locked to one person. If they get pulled away, it releases itself so nothing sits stuck.

Sites and departments

Messages are tagged by the mailbox they came from. Each person ticks the departments they cover and the screen remembers.

See what has been returned

New, claimed and returned, with who did it and when. The question "has anyone called them back?" answers itself.

Alerts in Teams

A card in your Teams channel when a new message arrives, and VoiceBox can sit as a tab inside Teams.

A full audit trail

Who listened, who claimed, who returned it and what they noted. Useful the day a customer says nobody rang them back.

Your callers' voices stay with us

Recordings are transcribed on hardware we run, not handed to a speech-to-text company. Your mailbox is left untouched, and audio is deleted on the schedule you set.

In daily use at Larkmead Veterinary Group across several sites since July 2026.

Questions people ask first

Do we have to change our phone system?

No. If your voicemail already arrives as an email in a Microsoft 365 mailbox, VoiceBox reads it from there. If it does not, we can usually set that up as part of the same job.

Does it change or delete anything in the mailbox?

Not by default. VoiceBox reads the messages and leaves the mailbox exactly as it was.

Where does the audio go?

It is transcribed on our own servers, not sent to a speech company. Only the text is tidied up afterwards. Recordings are deleted after the retention period you choose; the written transcript stays.

Does it cover every voicemail in the business?

It covers the mailboxes we connect. If individual staff have their own voicemail boxes, those are only included once we add them, and we will tell you which ones are and are not covered.

How accurate is the transcript?

Good on clear calls and names it has seen before; weaker on a bad mobile line or a heavy background. English only. The recording is always one click away for the ones that matter.

How many voicemails did you return last week?

If nobody can answer that quickly, VoiceBox is worth half an hour. We will show you it running on real messages.
